Conference Programming Formats

Due to the desire to offer conference programming in more widely accessible formats, the 2024 conference will be offered in two session modalities:

In-Person 


In-person sessions and posters from April 18-20 to be enjoyed by conference attendees at the Hyatt Regency Chicago in Chicago. A limited portion of this programming will also be recorded from Chicago for virtual attendees to view.

Virtual 


Virtual sessions and posters from April 18-20 to be enjoyed by conference attendees regardless of location.

 

 

There are no hybrid sessions, any virtual sessions must be conducted virtually by all members.

When you submit a proposal to the conference, you will select whether the session is intended to be presented in-person, virtually, or flexible with modality (either in-person or virtual); however, there are no hybrid sessions. Flexible modality submissions will be assigned a modality (in-person or virtual) at the time of acceptance. Submitted session format is distinct from registration. Those who register for the in-person conference will have access to all sessions, in-person or virtual, whereas those who register for the virtual conference will only have access to virtual sessions and a limited subset of in-person sessions that will be recorded (likely to be a few selected rooms).

Please confer with all speakers for the proposed session to ensure that they can meet the requirements for the in-person or virtual sessions (see below).

Who Must Register and How? All speakers must register for the in-person conference.

Who Must Pay for Conference Registration? SIOP is not able to pay, provide honorariums, or waive registration for speakers involved in sessions accepted through the submission process. All speakers and conference attendees are responsible for paying their own registration. For accepted proposals for In-Person sessions

  •  All session speakers must register for and attend the in-person conference.
  •  All session speakers must deliver their presentation in-person.
  •  Session organizers must provide session presentation materials (e.g. slides, pdfs) and videos (for virtual posters only) to the SIOP staff by the middle of March 2024 so they can be uploaded to the Whova app. This requirement is intended to increase the accessibility of presentations for both in-person and virtual attendees.
 
For accepted proposals for Virtual sessions

  •  All session speakers must register for the virtual or in-person conference. At least one speaker must register for the virtual conference.
  •  It is the responsibility of session submitters to let all speakers know that they must register and pay for the conference.
  •  All session speakers must deliver their presentation in a virtual format.
    •  Virtual posters should include a pdf version of your poster/presentation. You may also include a brief complementary video. 
    •  All other presentation types will be presented on April 18-20, synchronously during the conference. In addition, SIOP will provide space at the Hyatt Regency Chicago where in-person conference attendees can present as part of a virtual session.  
    •  Aside from virtual posters, there will be no asynchronous-only (e.g. pre-recorded) virtual content without associated live-presented content. All non-poster sessions will be presented live, but some may be recorded for later viewing.
  •  Session organizers must provide presentation materials (e.g., slides, pdfs) to the SIOP staff by the middle of March 2024 so they can be uploaded to the Whova app. This is intended to increase the accessibility of presentations for all attendees, regardless of modality.

Session Modality and Conference Attendance

 

Individuals can submit in-person, virtual, and flexible proposals. In other words, submitting one proposal using one modality does not require all other submissions to be in the same modality (i.e., you do not have to submit all your proposals using the same modality).

 

Individuals can present in (and attend) both virtual sessions and in-person sessions if they register for the in-person conference. However, individuals who register for the virtual conference can only present (and attend) the virtual conference. Any session with a virtual presenter must be entirely virtual (even if some of the speakers are in-person).

Quick Questions and Answers

 

Q: Can I submit an in-person proposal?

A: Yes, if you are a SIOP Member, Associate, Fellow, Retired member, or Student Affiliate. If you are submitting anything other than a poster, at least one speaker must not be a Student Affiliate.

 

Q: Can I submit a virtual proposal?

A: Yes, if you are a SIOP Member, Associate, Fellow, Retired member, or Student Affiliate. If you are submitting anything other than a poster, at least one speaker must not be a Student Affiliate. 


Q: When will my session be presented?

A: All sessions will be presented during the conference week, specifically April 18, 19, or 20, aligned with the Central Time Zone.
 

Q: Only one of my presenters needs to be virtual. Can the rest of us present in-person?

A: No, mixed modality presentations (i.e., hybrid presentations) are not permitted. If anyone needs to present virtually, the entire session must be submitted and presented as a virtual session.

  

Q: I am inviting a participant who normally does not attend SIOP to present as a speaker. Can SIOP waive this person's registration fee and/or pay them an honorarium or speaker fee?

A: No. SIOP is not able to pay, provide honorariums, or waive registration for speakers involved in sessions accepted through the submission process. All speakers and conference attendees are responsible for paying their own registration and fees associated with the conference.
